New Zone One Zone-O-Rama Show Site:

Idaho Horse Park in Nampa , Idaho :

Shannon Odell has been working on finding a new site for our 2008 Zone One Show.  She has talked with and visited the Idaho Horse Park in Nampa , Idaho and spoken with Rod Orrison their Manager.

Rod Orrison Manager of the Idaho Horse Park came to the meeting and gave use the overall view and what the Idaho Horse Park had to offer and what their facility had as far as arenas, stalls, equipment, etc.  After Mr. Orrison spoke he answered many questions and then left so we could discuss our options

Shannon passed out a comparison spread sheet she put together between the Idaho Horse Park and Linn County Fair and Exp Center .  There was much discussion about the pros and cons of moving our show.

Idaho Horse Park does the stalls, hay and shavings ($9.00 for 3.5 cubic foot bag, non put in stalls) and it can be put on a credit card – Zone One does not have to assign or do anything, have full time staff to help out, they feel the footing is very important and have 7 kinds of dirt, are installing four big fans to cool areas off,  we pay for consumption of Diesel Fuel – about $20.00 per day.  44 RV spots, hotels near by, 45 acres of asphalt, dog allowed BUT not in buildings, no charge for vendors until we want to charge or they use power – the $15.00

Will Smith stated that the Linn County Fair and Expo in Albany , OR would be the same as 2007.

After MUCH discussion and questions etc. it was voted unanimously to have the 2008 Zone One Zone-O-Rama at the

Idaho Horse Park in Nampa , Idaho with an option in 2009

Show Manager:  Two bids were received for the 2008 Zone One Show Manager – after much discussion Shannon O’Dell’s bid was accepted as our 2008 Show Manager. $3000.00 plus reasonable expenses - Costco phone cards  Shannon signed her bid.

Dates for 2008 Zone One Show: Might have to change but Shannon will check and report back.

Confirmation with APHA: Jeri Stone send around a letter that APHA wants stating that all clubs within Zone One have no objection that the Zone-O-Rama be held in Nampa Idaho this year for Directors present to sign, she will being back to February meeting and send out e-mail requesting those that cannot make meeting to send an ok to her.  She is also required to send a copy of our By-laws and 2008 officers to APHA.

Shavings: Idaho Horse Park handles

Ring Stewards:  We need three – Shannon will contact Mary Anne Larson to see if she will be our head Ring Stewards. The other two could come from local talent – Idaho Horse Park said they have contacts.  The Ring Stewards also need to be able to scribe.

Scribes:  Shannon will need to check with each judge to see if they want a scribe and then get the scribes we need.

In Gate:  Very Important person, friendly, smiles, work with people, handle pressure and not get upset – Shannon will try to find someone.

Treasurer:                  Kathy Allen

Correspondence:  APHA letter regarding change in Show Dates for 2007, bringing British Columbia and Alaska back into Zone One, New Gelding Plus Program, an e-mail from Cindy Weight-Carter on California Show dates or lack of, Shannon O’Dell not being able to make meeting, from Leila Styer regarding the Zone One Website, Gwen Carr and Brandon Severin not being able to be Sponsor person in 2007.  Also Crisis Chaplaincy Services (will bring to February meeting)

NEW BUSINESS:
Zone One Website:
Leila Styer sent an e-mail regarding her doing our website – had submitted a two year bid in 2006 and the 2007 fee is $350.00 per year for doing the Zone One Website in 2006/2007.  Also she suggested we renew the Dayana Domain – Domain Name – due to be renewed January 27, 2007 at a cost of $12.95 a year – Leila made a proposal that it be paid for 7 years a total of $90.65 so that domain and hosting renewal happen on the same year of 2014.  Motion made and passed.

  Treasurer Update:

1.      Kathy has a stall refund check that has not been cashed from past years show.  Voted to put back in our account.

2.      Also the Southern California PHC has not cashed the check for our ads from last year.  Check sent to Denise Cain in Lakeside, CA.  Jeri         Stone will e-mail Ginger and see what is going on.

Letter from Cindy Weight-Carter:  Zone One has tried to have their show the week after the Southern California Show – with the change in show dates by APHA we had to set our dates – Cindy did not know when or if they were going to have a show.

Letter from Gwen Carr was read – she would like to exchange an ad in the Horsemen’s Marketplace for a vendor space at our 2007 Z. O. Show.  It was decided not to set a precedence and not to exchange good for vender spaces in order to maintain a proper paper trail we need to pay for our advertising and vendors need to pay for their spaces.  Motion made and passed.  Jeri will contact Gwen about this.

Gelding Plus Program:  A letter was read from APHA regarding their new Gelding Plus Program.  They are going to be offering $3000 at all Zone Shows to the High Point gelding owned by person living in that Zone.  We needed to vote on one of three programs we wanted to have at our 2007 Zone One show.  A motion was made and passed to choose option # 3 - offer three High Point gelding awards - $1000 to the Open Division Regular Registry Show High Point Performance Gelding Highest point total, $1000 to the Amateur Division Regular Registry Show High Point Performance Gelding Highest point total and $1000 to the Youth Division Regular Registry Show High Point Performance Gelding Highest point total.

2007 Buckle Sponsor and Sponsor Coordinator:  Brandon Severin has contact Zone One and said he will not longer be able to work on sponsors – still have 15 sponsors that were listed in the Z. O. Premium and not paid.  Ami Bennett will take over this job for now and for 2007 and try to contact Brandon.  Kathy Allen will send out letter to sponsors who have not paid.

Dates for 2007 Zone One Show: August 22 - 26 – 5 days – Linn County Fair and Expo Center in Albany, OR.

Confirmation with APHA: Jeri Stone send around a letter that APHA wants stating that all clubs within Zone One have no objection that the Zone-O-Rama be held in Albany, OR this year for Directors present to sign, she will being back to February meeting and send out e-mail requesting those that cannot make meeting to send an ok to her.  She is also required to send a copy of our By-laws and 2007 officers to APHA.

Dog Problems at APHA Shows:  The number one liability at shows is DOG CONTROL.  There was much discussion on this subject as at the 2006 Z. O. Show the dog problem was out of hand.  A motion was made and passed to put BIG & BOLD warning on the cover of the 2007 Zone One Zone-O-Rama Premium about this and post something in arena, barns and around grounds.  Dogs (except Service Dogs) not allowed outside camping area and must be on short leach or in small pen.  Also have the Assistant Show Manager try to get this problem under control.  More on how to handle this will be discussed at February meeting – finds – how can we handle???

Shavings: Will will get a quote for bag shavings for the February meeting.  From fairgrounds and/or private business.

Scribes:  They are not mandatory – need to put on judges contract if they will need a scribe at the show.  Will will need to check with each judge to see if they want and then get the scribes we will need.  At the 2006 Z. O. Show the judges did not want even though we had them hired.

Cattle:  Mike and Angie will do cattle again in 2007.

New APHA rule on how to exit arena is only for Over Fence Classes.

High Point Halter Horses:  Linda Vance will calculate these for our 2007 Z. O. Show.

Change in Class Schedule:

1.      Motion was made & passed to move all Driving Classes to Wednesday after Reining and leave the rest as in 2007.

2.      Schooling Trail will be Wednesday – Annie Suratt will do this

3.      No NWCC Reining – instead will have In Hand Trail Jackpot Futurity – to run before Yearling In Hand Trail

Budget for 2007 Z. O. Show:  We need to look at where we can cut back or up some fees (stall fees) – tabled until February meeting so Will can get with fairgrounds and  final financial report after unpaid sponsors pay and NWCC Auction items.

Halter: To make go faster look at dividing arena in thirds – one for holding, one for judging and one for announcing?

Cattle:  Have cattle area prepared – water down night before and people doing ropes off cattle know what they are doing and how to do it.

Judges Trailer:  Linda Vance will get and report cost at February meeting.

Caterer:  Discussion on if having a caterer for staff and judges lunch is worth it.  Yes, it is a time to sit and relax and get away for a few minutes.  $12.00 per person for 25 people.

Show Manager: Will Smith submitted his bid for the 2006 Zone One Show Manager.  It was voted to pay Will $3000.00 INCLUDING EXPENSES/ Costco phone cards.  Passed.  He signed his contract.

Contract Signed with Linn County:  Will will bring to February meeting.

APHA Approval: Will Smith will send the APHA Show forms to APHA to get the 2007 Zone One Zone-O-Rama approval after he checks with judges, LCF&EC and gets a correct list of 2007 show classes.  The list of classes will be gone over at February meeting.

Assistant Show Manager:  Matt Watkins was our assistant Show Manager in 2006 and did an outstanding job.  He volunteered.  It was voted to offer Matt the job in 2007 with $500, a camper space and meal with the show staff.  Linda Vance will try to contact Matt to see if he would like to do the job again. Job like 2006 but also police dog problem.  Pay will be discussed at February meeting.

Stall Manager:   Annie Suratt submitted her bid to be our 2007 Stall Manager – same as 2006 – $500 & a motel room – plus expenses – Costco calling card.  A motion was made and passed to hirer Annie as our 2007 Stall Manager – she signed the contract.

Stall Reservation date has been changed from June 1 to July 1.

Patterns:  Will brought up that he could get patterns for the Zone One Show on line from one of 2006 judges that are offering this service.  Cost $40.00.  It was suggested that Will contact the 2007 Judges possibly Garth Gooding – to see if they will send him the patterns needed.  Will Smith is working on getting patterns from judges, off line and will do Pattern Book.

The 2007 Zone One Zone-O-Rama Judges will be: Will has hired six judges for our show: Bruce Crewson, Jim Isley, Garth Gooding, Karen Watters, Ruth Ann Rodkey & Cynthia Rucker –  @ $450 per day plus overtime same as 2006.  We must remember that Zone One wants to have quality judges not novices, want to try to hirer judges that have judged the World Show.

NWCC/CCC & APHA Journal Ads: There was discussion on if we need as many ads and cost as in 2006. Last year the Southern California PHC & Greater Los Angeles PHC did ads and we paid them for this.  We do not know if they have put an ad in the California Directories.  It was decided we do not need ad in Paint Horse Journal and Show Premium.  Jeri will contact Ginger Cornwell in California and see where we stand with them.

Photographer:  Will has hired a photographer for the 2007 Zone One Show.  There was discussion on Photographer handing out buckles and Edie’s office sending 2nd., 3rd. & 4th. place winners name over to Gorman’s booth.  Need more discussion on this at February meeting.

Motion made to keep High Point Solid Paint Bred and Yearling High Point – Jacket for High Point & sheet for Reserve.

Awards: A motion was made to have Mike and Angie Gorman do the awards for the 2007 Zone One show.  Passed.  They said at the 2007 Z. O. Class Average Awards: Mike and Angie Gorman will handle the awards for the 2nd., 3rd. and 4th. place Class Average Awards.  Will they do coupons, as last year?  They will submit their bids at the February meeting.
